Frequently asked questions
Everything procurement, HR and events teams ask us before placing a first order. If your question is not here, ask it at the bottom of the page and you will get a straight answer the same working day.

Getting started
How to ask, what to send, and what comes back.
How do I get a quote?
Send us the brief — through the form on any page, on WhatsApp, by email or by phone. Tell us the occasion, roughly how many pieces, the date you need them by and whether they should carry your logo. A coordinator replies with options, a written price and a free mockup, normally within one working day.
What should my brief include?
Four details are enough to start: the occasion, the quantity (a range is fine), the date the pieces must be in your hands, and your budget per piece. Add whether it should be branded, carry recipient names only, or stay unbranded, and send any artwork, sketch or reference photo you have. None of it is mandatory — a single sentence is enough to begin.
Do I need finished artwork to ask for a quote?
No. A rough idea and a quantity are enough for a first quote. Artwork is only needed once you have chosen a direction, and our designers will tell you whether what you have is usable.
How quickly will I hear back?
You get an acknowledgement the same working day with a reference number beginning ENQ-, and a written quotation with a mockup within one working day. If your date is inside two weeks, say so in the first line and use WhatsApp — it is the quickest way to reach us.
Who will I be dealing with?
One coordinator, from the first message to delivery. You get their name and contact details in the first reply, and they stay with your order until it is delivered.
Can I send photos, sketches or my logo with the brief?
Yes. The brief forms take up to 10 images — JPG, PNG or WebP — such as a sketch, a photo of last year's piece or your logo. They are stored privately, seen only by you and our team, and deleted 30 days after your project closes.
Is asking for a quote free?
Yes. Sending a brief, the quotation and the mockup are all free and commit you to nothing. An order exists only once you accept a written quotation.
Can I talk to someone instead of filling in a form?
Of course. Message us on WhatsApp on +971 58 877 4052, call +971 58 877 4052, or email Awards@gulfcommerce.ai. We are available Monday to Friday, 9am to 6pm (UAE time). You can also leave your number at the foot of the home page and a coordinator will call you back.
Prices, payment and VAT
Why there are no prices on the site, and what a quotation contains.
Why are there no prices on the website?
Because nothing here is sold from stock. A crystal award at 40 pieces and the same award at 400, engraved rather than colour-printed, are different jobs at different prices. Publishing a number would mean publishing a wrong one, so every piece is quoted against your brief.
What does a quotation include?
The piece, the personalisation method, the quantity, the lead time and VAT shown separately — itemised and in writing, so it can go straight into a procurement file. A visual mockup of your artwork on the piece comes with it, at no charge. Each quotation states how long it is valid.
How can I get the best price?
Tell us your budget per piece — it is the single most useful number, because it lets us shortlist honestly instead of guessing. The unit price also improves as the quantity grows, and a repeat order costs less to set up because tooling and artwork are kept on file.
What are your payment terms?
Unless your quotation says otherwise, our standard terms are 80% advance and the balance on delivery Based on project; credit terms are available for approved corporate accounts.
Do your prices include VAT?
VAT is shown separately on every quotation and invoice. We are registered for VAT in the UAE under TRN , which appears on our quotations and invoices.
Do you offer credit terms?
Yes — credit terms are available for approved corporate accounts. Ask your coordinator and we will tell you what is needed to open an account.
Do mockups or samples cost extra?
The digital mockup is always free. A physical sample or pre-production proof is available on request, and any cost or added time for it is agreed with you before we start.
Quantities, minimums and repeat orders
From a single lifetime-achievement trophy to a company-wide programme.
Can I order a single piece?
Yes. A single lifetime-achievement trophy is as valid an order as five hundred delegate gifts. Engraved pieces can be made singly; printed and embroidered items can carry higher minimums because of set-up, and your quotation states which applies.
Is there a minimum order?
Most pieces start from one. Where a method needs set-up — some printing and embroidery, for example — a minimum may apply, and your quotation says so plainly.
Does the price drop for larger quantities?
Yes. The unit price improves as the run grows. As a rough guide, bands are 1–9, 10–49, 50–199 and 200 pieces or more, but your written quotation confirms the price for your exact specification, quantity and deadline.
Can every piece carry a different name?
Yes, at no extra charge. Send the names in a spreadsheet, exactly as they should appear, and every name is read back against your list before packing.
What if the quantity might change?
Tell us in the brief — a range is fine — and we will quote the quantity bands so you can see the price at each.
How do repeat orders work?
Your artwork, tooling and packing notes are kept on file, so next year's order usually takes one message. A repeat of a bespoke piece is identical to the first and costs less to set up.
Artwork, mockups and approval
You see your piece before anything is made.
What is a mockup?
A digital visual of the piece with your logo, names and wording in position, at the correct proportion, with the engraving or print area marked. For bespoke work it is a 3D render. It is free and normally arrives within one working day.
Do I have to approve a design before production?
Yes. Nothing goes into production until you approve the mockup, so please check spellings, dates and names carefully — what you approve is what we make.
Which artwork files do you need?
Your logo as a vector file — AI, EPS, SVG or PDF — if you have one, plus the wording in English, Arabic or both. If you only have a PNG or a photo, send it anyway and our designers will tell you whether it can be used.
Can I change the wording after approving the mockup?
Before production starts, yes, at no cost. Once engraving or printing has begun, changes may mean remaking the affected pieces, and we tell you the cost before we do anything.
Can I see a physical sample before the full order?
Yes. For larger runs and anything bespoke we recommend it: you hold the real material, check the engraving depth and the colour, and only then release the full quantity. Any cost or added time is agreed before we start.
Can you design something that does not exist yet?
Yes — we manufacture, so we are not limited to a catalogue. Send a sketch, your building, your logo mark or a theme, and our designers return a 3D visual before anything is cut. Bespoke shapes need new tooling, which adds cost on the first run but is kept on file.
May I use any logo or artwork I send?
By sending logos, artwork, names or wording, you confirm that you are entitled to have them reproduced. We use them only to quote for, make and deliver your order.
Personalisation, engraving and Arabic
Your names, your logo, in either script.
Can you engrave in Arabic?
Yes — in Arabic, English or both. Names and wording are set by designers who work in both scripts every day, and every name, title and diacritic is read back against your list before anything is engraved.
How should I send Arabic names?
In a spreadsheet, typed in the exact script and spelling you want them to appear in, with titles and honorifics included. Avoid scanned images of names — they can be misread.
Which personalisation methods do you offer?
Engraving, colour printing (including full-colour UV print on acrylic) and embroidery, depending on the piece. Your quotation names the method, and the mockup shows exactly where the logo and wording sit.
How does engraving look on crystal?
On clear crystal or glass, engraving shows as a crisp frosted-white mark that reads cleanly against the light and catches stage lighting.
Can the logo be printed in our brand colours?
Yes. Colour-printed acrylic carries your logo in full colour, so brand colours stay true on the finished award.
Can a piece be left without any branding?
Yes. Your logo, recipient names only, or nothing at all — all three are normal here. Unbranded pieces are often chosen for dignitaries and guests of honour.
Materials and what we make
Awards, trophies, medals and premium gifts — and which material suits which occasion.
What do you make?
Crystal awards, metal trophies, acrylic and resin awards, wood and marble plaques, medals and ribbons, long-service and recognition awards, corporate gifts and premium Arab gifts — all made to order and personalised.
Which material suits my ceremony?
Optical crystal is the ceremony default for headline and executive awards. Metal suits sculptural and fully bespoke shapes. Acrylic and resin are the most economical at volume and the fastest to produce. Wood and marble are warm and understated — often right for long service and for dignitaries. If you are unsure, send the occasion and we will recommend, at no cost.
What are your metal trophies made of?
Brass, bronze and stainless steel, cast or CNC cut, then hand polished. New tooling adds cost on the first run but is kept on file, so repeat years are cheaper and identical.
Do you make medals?
Yes — for sports days, tournaments, races and company events, made in your colours, wording and shape. Finishes include gold, silver and antique bronze plating, enamel-filled and acrylic, with ribbons and presentation cases. Ribbon colours and any case are confirmed with your mockup and quotation.
Do you make long-service awards?
Yes, in tiers such as five, ten, fifteen, twenty and twenty-five years, each named per recipient at no extra charge. Crystal, metal, wood and marble all work well.
What premium Arab gifts do you offer?
Pieces that carry the region's hospitality — dallah and dates, oud and bakhoor, and keepsakes for delegations, VIPs and dignitaries — branded with a logo or left unbranded for guests of honour. The exact contents of any set are confirmed in your quotation.
Do you make corporate gifts?
Yes — desk sets, leather, tech and stationery for clients, partners and staff, branded with your logo or deliberately unbranded, for Ramadan, Eid, UAE National Day, year-end or any time of year.
Can I order exactly the piece shown on the website?
Yes, or have it changed in size, material or wording — everything is made to order. Pieces marked as a client project were made for that client; send your own brief and we will quote a piece made for your organisation.
Will my piece look exactly like the photo?
Product photos are representative. Your piece is made to your own artwork and the approved mockup, and natural materials such as wood, marble and crystal vary slightly from piece to piece.
Why do the photos on the website carry a watermark?
To protect our product photography from being copied. The watermark appears only on the website — the piece you receive carries nothing but your own design.
Lead times and deadlines
How long to allow, and what to do when the date is close.
How long does an order take?
It depends on the piece. As a guide, from artwork approval: an engraved catalogue trophy takes about 5–8 working days, an acrylic or printed award 4–6, premium Arab gift sets 8–14, a large corporate gift run 10–18, and a bespoke shape with new tooling 15–25. Your written quotation confirms the lead time for your exact order.
When does the lead time start?
From your approval of the mockup and the start of production. Approving quickly is the easiest way to protect your date.
Can you handle a rush order?
Often, yes. Tell us the date and you will get a straight yes or no. For anything inside two weeks, message us on WhatsApp and put the date in the first line.
Which date should I give you?
The date the pieces must be in your hands, not the date of the event — it leaves room to check and set up.
When should we order for Ramadan, Eid, National Day or year-end?
As early as you can: these seasons book up, and sending your artwork early holds a production slot. Join the seasonal gifting calendar in the footer and we will remind you ahead of each one.
Delivery and packing
Across the UAE and the GCC, boxed the way you need it.
Where do you deliver?
Across the seven emirates, and to Saudi Arabia, Qatar, Oman, Kuwait and Bahrain, with customs paperwork handled by our logistics partner. Delivery details and any costs are set out on your quotation.
Can you deliver to our event venue?
Yes. For ceremonies we can deliver to the venue and hand over to your events team — include the address, a contact and access times in your brief.
How are the pieces packed?
Boxed individually or in bulk, and labelled by department, table or recipient if that is how you need them on the night. Gift boxing and kitting are part of what we do.
Do you deliver on a fixed date?
Yes — we plan to your date. Tell us when the pieces must be in your hands and the lead time is confirmed in writing with your mockup.
Corporate and government buyers
Purchase orders, tenders and vendor registration.
Do you work with purchase orders and tenders?
Yes, including government and semi-government processes. Email an RFQ or tender document and it is answered line by line in your format, with trade licence, VAT certificate and vendor registration forms attached where they are required.
Can you register as a vendor with our organisation?
Yes. Send your vendor registration forms and we will complete them with our trade licence and VAT certificate.
What company will be on our quotation and invoice?
The Gulf Awards is powered by ROCKSOUQ AI FZ-LLC, trade licence 45038981, TRN . Your quotation and order are with ROCKSOUQ AI FZ-LLC.
Will you sign a non-disclosure agreement?
Yes, on request. Artwork, recipient lists and award wording are always held in confidence and used only to produce your order.
Can the order be packed by department?
Yes. Pieces can be packed and labelled by department, table or recipient. If they are going to more than one address, say so in your brief and your quotation sets out how they will be delivered.
Tracking your project
Follow your quotation or order online, with no account.
How can I follow my project?
On the Track your project page. Enter the email address and the phone number you gave with your brief — both must match — and you will see where your project stands, the images you sent and the documents we have added. No account or password is needed.
What do the stages mean?
Received — we have your brief. Quoted — your written quotation has been sent. Mockup sent — a visual awaits your approval. Confirmed — your order is scheduled into the workshop. In production — your pieces are being made and checked name by name. Delivered — your order has arrived.
Where do I find my quotation and mockup?
They are emailed to you, and also appear under From us on the tracking page — the quotation, the mockup, the order confirmation, production photos and the delivery note, as each stage is reached.
Can I add more images after sending the brief?
Yes. While your project is open, the tracking page lets you add reference images, up to 10 per project, and your coordinator is told straight away.
Why does the tracking page ask me to sign in again?
For your security it stays open on your device for two hours, then asks for your email and phone again. Only someone with both can see your project.
I sent my brief on WhatsApp or by email. Can I still track it?
Tracking covers briefs sent with both an email and a phone number. Otherwise, just ask for an update in the same WhatsApp chat or email thread and we will answer the same day.
Quality, damage and care
Checked before it leaves, and how to keep it looking right.
How do you check quality?
Every piece is inspected and finished by a person, and every name is read back against your list — spelling, titles and Arabic diacritics included — before it is boxed.
What if a piece arrives damaged?
Tell us and we remake it. Everything leaves the workshop inspected and packed to survive transport, but glass is glass — replacements for transit damage are on us.
Who actually makes the pieces?
We do. Design, tooling, production, personalisation, finishing and packing all happen in our own workshop in Dubai — nothing is subcontracted overseas, which is why a late change of wording is a conversation rather than a crisis.
How do I clean a crystal award?
Dust it with a soft, lint-free cloth. For fingerprints, spray a little glass cleaner onto the cloth rather than the crystal, and avoid abrasive pads.
How do I care for acrylic?
Clean it with a soft microfibre cloth and mild soapy water. Avoid alcohol, ammonia-based glass cleaners and paper towels, which can cloud or scratch acrylic.
How do I care for metal, wood and marble?
Wipe metal with a dry microfibre cloth and avoid polish and abrasive pads, which can wear plated and brushed finishes. Dust wood with a dry soft cloth, away from direct sun, heaters and damp. Wipe marble with a soft dry cloth and avoid acidic or abrasive cleaners, which can dull polished stone.
Privacy, contact and the gifting calendar
What happens to your details, and how we stay in touch.
Will you add me to a mailing list or call me with offers?
No. Asking for a quote does not sign you up to anything. We make no promotional calls and send no marketing you did not ask for — we answer your enquiry and then wait for you.
What do you do with my details?
We use them only to answer you and to make and deliver your order. They are never sold, rented or passed to anyone for their own marketing. The privacy policy explains exactly what we keep and for how long.
Who can see the images I send?
Only you — after confirming your email and phone on the tracking page — and our team. They have no public address, the location data a phone adds is removed, and they are deleted 30 days after your project closes.
Can I ask you to delete my data?
Yes. Write to Awards@gulfcommerce.ai from the address you used with us, and we delete it, including recipient name lists once your order is complete, unless the law requires us to keep a record.
What is the seasonal gifting calendar?
Four reminders a year, ahead of Ramadan, Eid, National Day and year-end, so your gifting brief is never late — by email, and on WhatsApp if you add your number. You join only by ticking the box in the footer, and you can stop at any time.
What are your working hours?
Monday to Friday, 9am to 6pm (UAE time). Saturday by appointment · Closed Sunday. WhatsApp is the quickest way to reach us when a date is close.
