The Gulf Awards and this website, thegulfawards.com, are operated by ROCKSOUQ AI FZ-LLC, trade licence 45038981, Al Qusais, Dubai, United Arab Emirates (“we”). For anything in this policy, write to Awards@gulfcommerce.ai.
What we collect, and why
When you ask for a quote or send a brief
Your name, organisation, email address and phone or WhatsApp number; what you need, the quantity, the date you need it by and anything you write in the brief; and any reference images you attach. We use them to prepare your quotation and mockup, to make and deliver your order, and to contact you about it. We keep the email and phone you gave so that you, and only you, can follow the project on our tracking page.
When you ask for a call back
Your phone number, so that we can call you.
When you join the seasonal gifting calendar
Your email address and, if you add it, your WhatsApp number — only after you tick the box agreeing to receive the reminders. We send four reminders a year, ahead of Ramadan, Eid, National Day and year-end, and nothing else. You can stop them at any time by replying to one, or by writing to Awards@gulfcommerce.ai.
When you use the website
To keep spam and abuse off our forms, we record your IP address, your browser’s user agent, the pages you view, and an identifier calculated from your browser’s settings (not a cookie, and not something that names you). A form that looks automated is held for a person to review rather than sent on. We do not use advertising cookies, and Analytics cookies are set only if you agree.
Google Analytics, if you agree
On your first visit, a bar at the foot of the page asks whether we may use Google Analytics. Google’s measurement tag is on our pages from the start, but until you press Accept it sets no cookies and sends no identifier: Google receives only cookieless signals — that a page was viewed, the kind of device, and your approximate location worked out from your IP address — with nothing that could recognise your browser on a later visit (Google calls this consent mode). If you press Accept, Google Analytics records the pages you visit, how you arrived, your device and browser type, and your approximate location, so that we can see which pages help people. It does not receive what you type into our forms, and its advertising features are switched off in every case. If you press Decline, the tag is not loaded on the pages you visit afterwards. You can change your mind at any time with Cookie settings at the foot of every page; declining after accepting removes its cookies.
Cookies
- tga_track — set when you open your project on the tracking page with your email and phone, so the page stays open for you. It lasts two hours and holds nothing but which projects you may see.
- tga_admin — used only on our staff system, not on this website.
- tga_consent — remembers whether you accepted or declined Google Analytics, so the bar does not ask on every page. It lasts a year.
- _ga and _ga_DQHC631GBH — set by Google Analytics, only after you accept, to recognise a returning browser by a random number. They last up to two years, and are removed if you later decline.
Reference images
Images you send with a brief, or add later on the tracking page, are stored privately: they have no public address, and only you (after proving your email and phone) and our team can open them. They are kept while your project is open and deleted 30 days after it closes. Before they are stored, we strip the hidden data a phone adds to a photo, including its location.
Who sees your details
Our team, to answer and fulfil your request. And these services, which handle them on our behalf and only for that purpose:
- ROCKSOUQ AI FZ-LLC (licence 45038981), our systemized partner, which provides and maintains the systems this website and our handling of enquiries run on, and may handle your details in doing so.
- Our email provider, which delivers the emails about your enquiry.
- Telegram, through which our team is alerted to new enquiries and updates. Telegram may process this outside the UAE.
- Our website hosting provider, which stores the website and its data.
- Google, which runs Google Analytics for us — in full if you accept it, and otherwise only the cookieless signals described above — and may process that data outside the UAE.
- A delivery company, when your order is shipped, receives the delivery details.
We never sell your details, and never pass them to anyone for their own marketing.
How long we keep it
Enquiries and orders are kept for as long as we need them to deliver and support your order, and afterwards for as long as UAE law requires us to keep commercial and tax records. Reference images are deleted 30 days after your project closes, as above. Gifting-calendar sign-ups are kept until you unsubscribe. You can ask us to delete an enquiry sooner if we are not required to keep it.
Your rights
Under the UAE’s personal data protection law (Federal Decree-Law No. 45 of 2021), you can ask us for a copy of the personal data we hold about you, ask us to correct it or delete it, ask us to stop using it for reminders, and withdraw any consent you gave. Write to Awards@gulfcommerce.ai from the address you used with us, and we will reply within 30 days.
Changes to this policy
When what we collect or how we use it changes, we update this page and the date at the top.
